Privacy in the PV planning tool

Version: 15 September 2026. These notes describe the actual technical state of the tool; the general privacy policy of Greenfuture GmbH applies in addition.

What we process – and why

  • Planning in the browser. Your inputs (location with postcode, town, optionally street and coordinates, roof, modules, storage, loads) stay in your browser's storage on your device until you choose “Delete planning”. They only reach our server when you send an enquiry, place an order or create a share link – with two exceptions: address search and yield data (see “External services”).
  • Enquiry and quotation. We store name, e-mail, phone, company and VAT ID where given, address, message and the planning itself in order to answer the enquiry and prepare a quotation (Art. 6(1)(b) GDPR). You receive a confirmation by e-mail. Twelve months after the last processing, contact details and address are anonymised; the technical planning remains without personal reference for statistics.
  • Order. In addition we store payment status, amount and the order number of our ERP system. The order is transferred to our ERP system (JTL-Wawi, operated by us), where the invoice is issued. Order and invoice data are subject to the seven-year tax retention period (§ 132 BAO, Austria). After that, customer data in the planning tool is anonymised automatically.
  • Share link. Every saved planning has a link containing a random key. Anyone who knows the link can see the planning including the location. We do not pass links on; if you share one, you decide who sees it.
  • Installation partners. If you look for an installer, we store name, e-mail, phone, message and the search location. Your contact details are passed to an installer only after they have accepted the request and you have consented. Twelve months after the referral is closed they are anonymised. Installer applications (company data, contact person) are anonymised six months after a rejection.
  • Returns (RMA). We store e-mail, name, device and serial number to handle the case. Three years after closure, e-mail and name are pseudonymised; device data and findings remain as technical history.
  • MPPT and cable calculators. If you ask a question there, we store name, e-mail, phone and message; they are anonymised twelve months after completion.

External services that receive data

Only as much as the purpose requires – and only when you use the function:

  • Address search: Nominatim of the OpenStreetMap Foundation (United Kingdom). Street, house number, postcode, town and country are transmitted when you use the address search in the location step. The response is held in memory only, not on disk.
  • Yield data: PVGIS of the European Commission's Joint Research Centre. The coordinates of the system location and the system parameters (power, orientation, tilt) are transmitted.
  • VAT ID check: VIES of the European Commission. For business customers with a VAT ID we verify it for tax treatment; the result is kept as evidence for seven years.
  • Payment: Mollie B.V. (Netherlands). Amount, currency, a neutral transaction reference and the language of the payment page are transmitted – no name, no address. You enter your payment details directly at Mollie; they never reach us.
  • ERP: JTL-Wawi, operated by Greenfuture GmbH itself. On an order, customer and order data are transferred there.
  • E-mail: Confirmations and quotations are sent via our own mail server.
  • Map and aerial image (building step, partner map): map tiles are loaded from Esri (server.arcgisonline.com, USA) and OpenStreetMap tile services. When you open the map view, the respective provider receives your IP address and the requested map sections. We transmit no further data.
  • Google Analytics / Tag Manager (Google Ireland Ltd.): only if you consent to the “Marketing” category in the privacy settings. Without consent no Google script is loaded.

Usage statistics (with consent only)

If you consent to usage statistics, we store: a random visitor ID in your browser's storage (valid 90 days), planning steps, clicks and error messages, the postcode of the location, device type, browser, time of day and technical planning data (e.g. power, storage type). No IP address, no name, no sharing with third parties. The data is deleted after 90 days. Before your decision we only count that the notice was shown – without any identifier.

You can change or withdraw your choice at any time via “Privacy settings” in the footer.

Browser storage

The tool uses your browser's local storage (localStorage) for: your current planning, your privacy choice, the visitor ID (only with consent) and the language. No cookies are set for visitors. A session cookie exists only in the staff area.

How long we keep data

  • Enquiries and quotations without an order: 12 months after the last processing, then anonymisation.
  • Orders: 7 years of tax retention (§ 132 BAO), then anonymisation.
  • Installer referrals: 12 months after closure. Installer applications: 6 months after rejection.
  • Returns: 3 years after closure, then pseudonymisation of e-mail and name.
  • Usage statistics and operating logs: 90 days.

Your rights

You have the right of access, rectification, erasure, restriction of processing, data portability and objection, and the right to withdraw consent at any time. We cannot erase order and invoice data during the statutory retention period, but we can restrict its processing.

Write to office@green-future.at for this – state the e-mail address you used in the planner. We reply within one month.
